Outdoor activity tours in Iceland are both weather dependent and may entail certain inherent risks. There are therefore a few things that must be taken into consideration.
The Forces of Nature
While we strive to provide the services we advertise and will do our utmost to meet and exceed your expectations, we can only do so within the parameters and limitations set by the natural elements.
In Iceland the forces of nature reign supreme. Our weather is rather unpredictable and can change very rapidly and so do the conditions that allow us to do and enjoy certain activities and experiences. Also, geological factors such as seismic activity and volcanic eruptions have been known to disrupt travel plans. Given these and other considerations that are unforeseen or beyond our control (i.e. Force majeure) we reserve the right to alter our plans accordingly or even cancel your tour/activity at our discretion in the interest of your safety and that of your fellow group members. Further, adverse weather conditions may affect the subjective quality of your experience even at times when your tour/activity is otherwise safe to carry out. Under such conditions we cannot be held liable for the whims of mother nature. This being said, we can reassure you that this doesn't happen very often and is especially rare in summer season.
Our guides are trained to identify and react accordingly to the constantly changing conditions that we may be faced with on any given day. Once you are on a tour with Iceland Expeditions, your guide has the final say on all decisions affecting safety and this must be accepted by all participants. It is our number one priority to keep you safe at all times. In cases where trips are cancelled prior to departure on account of unforeseen or uncontrollable elements we will offer you up to full refund of payment (see our cancellation policy). In cases where tour plans need to be altered while the tour is under way we may offer partial refunding – up to 50% – at our discretion, depending on the nature and extent of the alteration. Please bear in mind that trip-related expenses have for the most part already been incurred upon departure.
Personal liability and assumption of risk Please be advised that by booking and participating in any tour or activity offered by Basecamp Iceland/Iceland Expeditions (here after: the supplier) you acknowledge that participation takes place entirely at the participant´s own risk. This means that you affirm that you consider yourself both physically and mentally fit to participate in the tour/activity in question and that you are responsible for taking due care and heeding the advise and guidelines concerning individual and group safety given by the suppliers´ guides. Further, as outdoor activity tours may entail certain inherent risks the supplier or its partners cannot be held responsible for accidents caused by, or traceable to, participant's own actions or behavior. Nor can the supplier or its partners be held responsible for accidents caused by unforeseen events or factors that are beyond human control. The supplier reserves the right to refuse admission to would-be participants who are under the influence of intoxicating substances or, in our judgment, demonstrate an irresponsible attitude or unsafe behavior. This is for your own safety as well as that of others taking part in the tour/activity. Upon your purchase of a tour/activity offered by the supplier or its partners you a) affirm your understanding of, and agreement with, the above conditions, and b) accept personal responsibility for your participation in the tour/activity in question.
Cancellation Policy: In the event of cancellation for any reason, 10% of the price of your tour is non-refundable. This percentage represents our expenses for booking and preparing your tour. Private and Multiple Day tours: Confirmation of placement in a private or multiple day tour is conditional upon receipt of a 25% deposit as outlined in your invoice. Refunds will be offered at the following conditions: Cancellations made with more than a 4 week notice (prior to departure): 90% refund. Less than a 4 week notice but more than 1 week notice: 50% refund. Less than 7 days notice: no refund. No-show at pickup: no refund. Day tours groups: Confirmation of group booking is conditional upon receipt of a 25% deposit as outlined in your invoice.Refunds will be offered at the following conditions:14 days or more prior to departure: Full refund, minus 10% booking fee.14-5 days prior to departure: 75% refund of tour price.5 days prior to departure the balance of the tour price must be paid in full. 5 days or less prior to departure: No refund of tour price.If the number of participants decreases within 5 days prior to departure, the price for all participants booked is charged.
Day tours individuals: For Day Tours that are paid prior to the tour date:To confirm the booking the full tour price needs to be paid.7 days or more prior to departure:Full refund, minus 10% booking fee.7-2 days prior to departure: 50% refund of tour price.48 hours prior to departure the balance of the tour price must be paid in full. 48 hours or less prior to departure: No refund of tour price. Refunds are not issued if the guest chooses not participate in any of the planned activities. If a day tour is cancelled by the supplier due to weather conditions or other unforeseen circumstances prior to departure from Reykjavik a full refund minus 10% booking fee is granted. If a tour is cancelled by the supplier and was booked through a booking agent your agent will be informed of your eligibility for a refund of the portion hosted by the supplier. Eligibility is based on conditions listed above.
Travel insurance: We recommend our guests to purchase a travel insurance in their home country that will cover the costs in case a tour cancellation is necessary.
